West Chester Activity Center Club Coordinator

Position Summary:   Effectively plan, promote, and develop activities and events attractive to adults age 55+ (prime club) and the community (all ages) at the West Chester Activity Center (WCAC). Manage marketing requirements for the recreational and wellness programs through articles, newsletters and notices for the purpose of obtaining optimal attendance and satisfaction of the participants.  Provide coordination to ensure activities, events and goals and objectives are complete.  Oversee rental program at the WCAC. Promote various traveling excursions. This position works and directs assignments as part of a team and reports unusual circumstances to their supervisor.

General Purpose:    Ensure the development, planning and implementation of recreational activities for the  

West Chester Activity Center.  Ensure the progression of the travel opportunities available at Partners in Prime.   

Promote rental services at the WCAC to ensure maximum usage to generate monetary profits.  

Position Responsibilities

  • Organize, promote, plan, evaluate, and facilitate functional daily activities for members at the West Chester Activity Center (WCAC). 
  • Serve as the team leader for large events at the West Chester Activity Center. 
  • Coordinate, plan, organize, promote and host special events at the WCAC with the appropriate Member Services staff (i.e. evening dances, theme meals, and special celebrations).
  • Evaluate current activities while researching and developing new programs and activities attractive to the adults age 55+.
  • Monitor and develop on-going activities to enhance our recruiting, training and retention of volunteer activity leaders.
  • Evaluate, coordinate, promote and maintain the functional usage of the WCAC, including: set-up, class schedules, fees, instructors, supplies, sanitation, cleanliness, security and utilization of volunteers. 
  • Develop rapport with members by establishing and maintaining professional contact with the various groups and activities.
  • Successfully plan and coordinate activities with other club locations and various departmental staff to facilitate cooperation and ensure successful activities functions.
  • Respond to any unscheduled or unforeseen emergencies, special requests or tasks as related to the functionality and security of the WCAC. Flexibility is required.
  • Assist in developing and managing departmental budgets.
  • Coordinate articles and information to facilitate the publication and distribution of the newsletter together with the club coordinators assigned to other club locations.
  • Ensure all members documentation (NAPIS) forms are complete and delivered to the Hamilton Prime Club for proper storage.
  • Provide friendly customer service to Partners in Prime’s members, visitors and community. 
  • Coordinate details of day trips, overnight trips and big ticket trips (scheduling, ordering tickets, conveying information to newsletter editor and Member Services staff, promoting through flyers, etc.). 
  • Ensure rental contracts for the West Chester Activity Center are signed, checks forwarded to the Business Office, and rental calendar kept up-to-date.

West Chester Activity Center Duties

  • Effectively plan activities and events to attract new membership and entice participation and growth at the WCAC.  Initiate creative planning and networking to entice interest to current and upcoming senior population and the community.
  • Manage the day-to-day operations of the WCAC.
  • Serve as primary contact to provide general information and orientation to new or potential members.
  • Collect, record and forward payments and donations to the Hamilton prime club for members/customers who purchase membership or donate money for lunch, trips or events, etc. 
  • Train members to properly use the SSAid Scanner as needed or requested.
  • Follow agency Cash Management procedures.
  • Heat and serve prepared food items while following sanitary and other requirements in accordance with local, state, federal and other governing agencies regulations for food preparation and serving procedures.
  • Ensure the WCAC is opened and closed during normal operating times and as needed for special events.
  • Perform general cleaning of the WCAC as needed to ensure its sanitary and safe operation.
  • Provide friendly and professional customer service to our members, visitors and guests.  
  • Encourage membership with visitors, friends while extending invitations to the public. 
  • Develop and maintain a professional relationship with individuals acting as a volunteer or activity leader at the WCAC.
  • Ensure COA (Council on Aging) policies for congregate meals, recreation and departmental volunteers are followed.
  • On a daily basis, record and report the accurate number of participants involved in an event, activity or who dine for lunch.
  • Shop, pick up or deliver items to and from the WCAC as needed or requested and within the limits defined by the agency’s budgetary boundaries.
  • Prepare and assist with administrative and clerical tasks as requested.
  • Establish connections to publicize the WCAC’s intentions for growth.
  • Create and make the signage needed (excluding signs related to “Wellness” department events).
  • Ensure rental contracts are forwarded to the Business Office at the Hamilton location.
  • Ensure all membership renewal forms are forwarded to the membership offices at the Hamilton location.
  • Create the monthly activity schedule for print in our agency monthly membership newsletter and forward for duplicating and distribution.
  • Schedule and plan all activities for the senior population at WCAC.

Essential skills and experience

  • Two years of college course work in human service field or related education and experience.
  • Minimum of two years’ of experience in volunteer activities or related social programming.
  • Knowledge of computer system operations.
  • Six months supervisory experience.
  • Organizational ability.
  • Good socialization skills with the elderly population.
  • Time management and the ability to organize and manage multiple priorities.
  • Commitment to company values.
  • Excellent interpersonal and communication skills.

Non-essential skills and experience

  • Participate in promoting and maintaining a safe and positive work environment
  • Promote positive image of Partner’s In Prime within the community.
  • Successfully complete orientation and training sessions.
  • Must maintain a valid driver’s license, vehicle liability insurance and a good driving record that meets the standards of Partner’s In Prime’s vehicle insurance standards.

Training and Other Requirements

 

Attend conferences, seminars and training classes as requested by your supervisor.

Various computer software programs especially software related to Microsoft.

Create and respond to e-mail messages on a timely basis. 

Must have a valid driver’s license, proof of insurance and good driving record to meet standards set by our insurance provider.

Successfully complete pre-employment physical and drug screening requirements of Partners in Prime.

Successfully complete criminal background checks submitted through the Ohio Bureau of Criminal Investigation or FBI.

Meals on Wheels

Every Tuesday for Reily Twp. or Thursday for Morgan Twp. for 2.5-3 hours. Use your own vehicle and get reimbursed for mileage from Hamilton center and back to Hamilton center. Back-up drivers needed for all routes.

 

Lunch Servers

11:30 a.m. – 1 p.m. Mondays and Fridays in Hamilton.

10 a.m. to 12:30 p.m. any weekday in West Chester Twp.

11 a.m. -12:30 p.m. 1st and 3rd Thursdays in Fairfield.

Dishwashers

Any day in Hamilton 10 a.m. to 2 p.m. Monday through Friday.

Receptionist

Thursday; 9 a.m.  – 12:30 p.m.

Work the hub at the West Chester Activity Center. Answer phones, greet members, assist members with signing into computer, some clerical help.
